Certificates for many attendees, without a mail-merge weekend
The event is over, and now 200 attendees want a certificate. Anyone who has done that by hand once, with an Excel list, mail merge and individual email attachments, does not do it a second time. This page compares the two methods that actually solve the problem, and explains which one fits when.
The real work starts with handing them out
Designing a single certificate is quick, and in a pinch Word is enough for it. The work starts with large numbers: each person needs the right name in the document, each document has to come out as its own file, and each file has to go to the right address. On top of that come the cases every list contains: names with typos, changed email addresses, latecomers who are on no list at all.
Every tool that solves this problem follows one of two patterns. Either you bring the attendee data to the tool, or you bring the tool to the attendees. The difference sounds academic, but it decides how much list-keeping lands on your plate and whose data flows where.
Two methods compared: upload a list or share a link
The first method is the classic bulk send: you export the attendee list from your ticketing, load it into a certificate platform, the platform generates a PDF for each row and sends it out by email. This works, but it needs clean data. Every typo from the sign-up then sits on an official document, bounces and full inboxes stay your follow-up work, and the whole list including email addresses moves to yet another service provider.

How the link method works
The whole flow has three steps, and only the first happens on your side. The design comes together in the certificate editor, fastest on the basis of a ready-made template, with your logo, your colors and the name of the event. If you already designed a badge for the event beforehand, the certificate can take over its colors and accent straight away.
After that the work spreads across the attendees, where it belongs: each person spends half a minute on their own name. What would be a full working day for you with 200 people is one click and one text field for each individual.
PDF, image or proof link: the three forms
Every certificate from the link method comes in three forms: PDF, image and proof link. Your attendees do not have to choose one, as they get all three through the same link. Which form is good for what is shown in the overview.

The proof link is more than a copy
Behind the proof link stands a hosted Open Badge 2.0, an open standard for digital proofs. The page behind the link confirms who issued what and when, and it can be checked by machine. If you withdraw a certificate, for example because it was issued twice by mistake, the link answers every check with a clear revocation notice from that moment on. For your attendees, the convenient part matters most: a click on “Add to LinkedIn” passes the certificate name, issuing organization and credential URL into the LinkedIn form, already filled in. The flow from the attendee's point of view is described in the guide to entering it in the profile.
When the list upload is the better choice after all
The self-service link assumes that you can reach your attendees and that they do the small step themselves. In two situations that is the wrong assumption. If an examination regulation requires every document to be generated exactly from your master data, the list belongs in the tool, and the name should not sit in the attendees' hands. And if your target group tends to ignore emails from you, even the best link picks nobody up.
For the everyday reality of conferences, trade fairs, webinars and training courses, the opposite usually holds: people want the certificate, the occasion is fresh, and a link in the thank-you email gets opened. - Does OneClickBadge send the certificates out by email automatically?
- No, and that is by design. You share a link through your existing channels, and each person collects their own certificate. That way you need neither a maintained attendee list nor a mail send, and typos from sign-up data do not end up on the document.
- How do the names get onto the certificates?
- Attendees enter their name themselves when they collect it and see it right away in the preview on the certificate. That sounds like a detail, but it spares you the most common complaint of the list method: misspelled names on official documents.
- What happens if someone who was not there collects a certificate?
- You decide who gets the link and share it where only attendees are, for example in the follow-up email to the attendance list. Just in case, every issued certificate can be revoked, and the proof link then shows a revocation notice.
- Does this also work with 500 or more attendees?
- Yes, the method scales across the attendees: whether 50 or 500 people open the link makes no difference to your workload. You design one layout and share one address, and the rest happens spread out among the recipients.
